Job Description

About the Role:

Under the guidance of the Project Team Lead, the Account Assistant plays a vital role in delivering exceptional customer service and operational support. This position ensures smooth coordination between departments, accurate data management, and proactive problem resolution to meet both organizational and client objectives.

Key Responsibilities:

Data Management:

  • Enter and maintain all released sales orders in tracking systems.
  • Prioritize and process documents for warehouse operations using color-coded protocols.
  • Ensure document accuracy and compliance for inbound and outbound shipments.

Customer Service:

  • Respond to customer inquiries and concerns professionally, escalating issues to the Team Lead when necessary.
  • Serve as a liaison between fulfillment, warehouse, and logistics teams to coordinate shipment releases.

Administrative Support:

  • Manage filing systems and maintain document organization.
  • Assist with general office duties, including coordinating weekly team events, tracking supplies, and ordering as needed.
  • Update and maintain team dashboards with current data.

Shipping Coordination:

  • Support shipping functions and related system transactions.
  • Review, scan, and upload all final documentation for inbound and outbound processes.
  • Maintain accurate records of daily transfer documents.

Quality Assurance:

  • Maintain high standards of data integrity by processing documents with precision.
  • Provide feedback on workflow estimates and timelines.

Qualifications:

  • Associate degree or equivalent experience preferred
  • Customer service experience required
  • Strong background in business administration
  • Familiarity with Warehouse Management Systems (WMS) preferred
  • Oracle experience is a plus
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Excellent organizational and time management skills
  • Ability to read, write, and communicate effectively in English
