GENERAL DESCRIPTION:

The Editorial Assistant supports the magazine, online and in print, by reporting on pertinent defense-related events and policy issues, designing part of the print magazine and fulfilling various administrative tasks. He/she writes daily news items for the National Defense website while simultaneously working on long-form features for the monthly print magazine. Further, he/she completes a variety of administrative tasks that require extensive coordination with employees of the National Defense Industrial Association. This entry-level position requires previous reporting experience, preferably in defense or politics, and experience with Adobe Photoshop and InDesign. Position is classified exempt (salaried).

SPECIFIC RESPONSIBILITIES:

  • Write one long-form article for the monthly print magazine, ranging from 1600 to 2000 words. Stories should be accurate, fair, clear, concise and written in the active voice. Additionally, stories should be well sourced, with the editorial assistant collecting information from personal interviews, news briefings, industry conferences and think tanks. Stories must be written in such a way that will be comprehensible to a cross-section of readers, including Defense Department military and civilian officials, government and industry experts from the defense and homeland security sectors and other various technology-oriented business communities. Articles should be detailed enough to interest expert readers, but the editorial assistant should define terms that would not generally be known by professionals in other industries.

  • Periodically write daily stories for the National Defense website, ranging from 500 to 1000 words, usually on a strict deadline of a few hours.

  • Attends new conferences and events across the Washington, D.C. region to collect information for future stories. The editorial assistant is also expected to periodically travel domestically to cover various events, press conferences and trade shows.

  • Copyedits page proofs before publication to remove potential typos or identify serious errors.

  • Periodically uploads stories to the National Defense website using the SiteCore content management system. He/she researches appropriate, compelling images for online-only stories and resizes images and charts from the print magazine for optimal online viewing. Additionally, the editorial assistant updates the homepage of the website.

  • Produces the National Defense podcast on a monthly basis. The editorial assistant writes the script, then edits the audio file in Adobe Audio, and creates graphics to be used when shared. They then upload it to Libsyn, a podcast hosting website, for publication.

  • Manages the National Defense Facebook and Apple News accounts. He/she posts every article to the accounts, as well the as digital issue, the podcast and links to the web version of the Weekly Insider.

  • Coordinates the National Defense print order each month, getting in touch with National Defense Industrial Association meeting planners to record how many copies they will need for their respective conferences and web coordinators to record the how many copies will be mailed to subscribers. Sends final print order to National Defenses printer each month.

  • Facilitates the Funds Transfer between the Membership Department and Editorial Department.

  • Fields all subscription questions from subscribers or potential subscribers. Sends out invoices, subscription and renewal forms when requested. Troubleshoots with National Defense Industrial Association finance, mailing, and membership departments when subscribers have issues receiving the magazine in the mail. Additionally, the editorial assistant sends out missing issues
  • Develops strong relationships with government agencies, military personnel, members of the defense industry and academia to create sources for future articles.

  • Produces the Table of Contents section for the print magazine, writing short, compelling summaries for each story.

  • Works with fellow editorial staff to brainstorm ideas for future articles and National Defense issues.

  • Moderates the comments section of the website.

INTERNAL RELATIONSHIPS: Works extensively with employees of the National Defense Industrial Association to coordinate magazine distribution at various industry conferences as well as promote NDIA events in the calendar section of the magazine. Additionally, the editorial assistant facilities the monthly Funds Transfer between the Membership Department and Editorial Department.

EXTERNAL RELATIONSHIPS: Maintains extensive contact with government agencies, military personnel, members of the defense industry and academia to collect information for future articles.
