We are seeking a highly motivated and detail-oriented Operations Manager to support an investment firm based in Brentwood, Los Angeles. This role is ideal for someone who thrives in a fast-paced, high-integrity environment and wants to expand beyond executive support into a fully operational role. You will report directly to a senior member of the team and act as a key liaison across compliance, IT, firmwide initiatives, and general business operations.

This is a high-visibility position with the opportunity to work across nearly every aspect of the business. The ideal candidate is solutions-oriented, proactive, articulate, and possesses a strong EQ and IQ.

Responsibilities:

Compliance and Vendor Management

  • Partner with the Compliance team and external consultants on SEC filings, annual reviews, and certifications.
  • Manage compliance tracking systems, including logging and reviewing requests, maintaining policies, and ensuring timely submissions.
  • Support documentation for vendor agreements and assist with contract review and negotiations.
  • Stay abreast of regulatory trends and help update the compliance manual and internal policies accordingly.

Firm Operations and Culture

  • Serve as the operational point-person for onboarding new hires, including technology setup, parking assignments, and desk configuration.
  • Lead office management tasks such as vendor relations, office supply ordering, and facilities coordination.
  • Track and log key administrative data, including investor meetings, CRM entries, policy compliance, and internal records.
  • Coordinate and execute firmwide initiatives including trainings, culture-building events, and investor meetings.

Technology & Cybersecurity Support

  • Partner with IT vendors to maintain and enhance the firm’s infrastructure and cybersecurity framework.
  • Identify opportunities for tech process improvements and implement internal control best practices.
  • Support day-to-day IT issues, manage vendor performance, and document relevant tech and security policies.

Qualifications:

  • 5–8 years of experience in financial services, legal, operations, or other professional services environments.
  • Paralegal certification or experience with contract review preferred.
  • Strong writing and editing skills; ability to summarize and communicate complex information clearly.
  • Prior experience in back-office operations, compliance, or high-level administrative support roles.
  • Excellent organizational, analytical, and problem-solving abilities with a high attention to detail.
  • Demonstrated discretion, judgment, and professionalism in handling confidential matters.
  • Adept at using CRM tools, managing data entry, and tracking firm processes efficiently.
  • Team player with a positive attitude, strong work ethic, and the desire to contribute meaningfully beyond the job description.

Location : Brentwood, Los Angeles (on-site)

Hours : Monday - Friday, 8:30am - 5:30pm (Hybrid: 4 days in-office, 1 day remote)

Salary : $120,000 - $130,000 + excellent benefits, bonus, PTO, and 401k
