Position Summary
The Product Compliance Specialist/Senior Specialist will join our Americas Product Compliance Team, reporting to the Global Legal and Compliance Center. As an integral part of the Americas Product Compliance Team, this position is responsible for proficiently supporting pre-market and post-market product safety and product compliance activities. Additionally, this position is responsible for effectively and efficiently collaborating with the Regional Product Compliance teams, Global Compliance team, and the Legal and Compliance Center.
Responsibilities
- Coordinate the development, implementation, and management of standard operating procedures and work instructions; memos on prohibited and restricted products, warnings, labels, claims and other compliance topics; and other product compliance documents.
- Support the development of a product compliance training program for business partners.
- Search for product safety and product compliance news content from reputable news organizations and flag topics requiring investigation by Product Compliance Managers.
- Drive accuracy and efficiency of tracking and reporting on compliance trends and changes to regulatory and mandatory standards.
- Administer new supplier set-up.
- Drive accuracy and efficiency of tracking and reporting on product research conducted by third party testing, inspection, and certification service providers, consultants, and outside counsel.
- Initiate post-market surveillance and flag products requiring investigation and disposition by Product Compliance Managers.
- Query databases, analyze data, identify trends and patterns, and prepare accurate, informative, visually appealing reports and presentations for leadership.
- Conduct artificial intelligence image searches on internal and external sites.
- Coordinate cross-functional data and image search requests.
- Conduct internal audits to confirm that gating is sufficiently minimizing product compliance issues downstream.
- Conduct internal audits to confirm that delisting is implemented effectively.
- Drive accuracy and efficiency of tracking and reporting post-market surveillance activities (i.e., first party recalls, third party recalls, market withdrawals).
- Drive accuracy and efficiency of tracking and reporting on all post-market surveillance activity.
- Oversee the Americas Product Compliance shared email mailbox.
- Oversee the Product Compliance Sharepoint.
- Support the development, implementation, and management of the Americas Product Compliance budget.
- Perform other duties as assigned or required.
Skills and Qualifications
- Minimum of 2 years of relevant experience in consumer products and/or compliance.
- Bachelor’s degree in a relevant area (information and library science, legal research, law, engineering, supply chain management, or international business). Additional years of relevant work experience will be required for those without related educational backgrounds.
- Exceptional program and project management skills.
- Self-starter, entrepreneurial, “roll up your sleeves” attitude and the ability to manage multiple tasks simultaneously to meet tight deadlines.
- Ability to remain organized in a fast-paced start-up environment.
- Excellent attention to detail and commitment to achieving tasks with speed and precision, while maintaining high standards of quality.
- Demonstrated ability to understand “the question behind the question.”
- Experience utilizing a wide variety of research databases and online resources.
- Strong analytical skills. Experience querying databases to find specific contextual information based on defined criteria or keywords and data bias, efficiently retrieving information, finding relevant datasets for studies and analysis, identifying trends and patterns in business data, and presenting data in a manner that is both accurate and aesthetically pleasing.
- Experience citing sources accurately when quoting, paraphrasing, or summarizing, and using a consistent citation style (e.g., APA, MLA, Chicago, IEEE) including the author’s name, publication date, and other relevant details, depending on the source type (Code of Federal Regulations, product recall, journal article, website, etc.). Experience with a citation generator if not highly experienced with citing sources.
- A strong work ethic and sense of professional accountability.
- Flexibility to accommodate video conference calls between countries around the world.
- Strong computer skills including the use of Microsoft Office, Sharepoint, and artificial intelligence.
- Effective communication skills, both written and verbal. Ability to read, write, and speak both English and Mandarin fluently a plus.
